Email and cover letter templates for job seekers

A clear, polite email can be the difference between being noticed and being ignored. These templates cover every stage of a job search, from the first application to accepting an offer. Copy them, change the details, and keep them short.

Key takeaways

  • Keep job emails short: who you are, what you want, and a polite close.
  • Use a clear subject line with the role and, if there is one, the job ID.
  • Attach your resume as a PDF with your name in the file name.
  • Follow up only once, and only with an official contact.
  • Change every template to fit the role. Generic copied text is easy to spot.

Simple rules for job emails

  • Use a professional email address with your name.
  • Write a clear subject line so the email is easy to find later.
  • Address the person by name if you know it; otherwise use “Dear Hiring Team”.
  • Keep it to a few short paragraphs. Recruiters read on phones.
  • Attach your resume as a PDF, named like Priya_Sharma_Java_Developer.pdf.
  • Check spelling, the company name and the role before you press send.
  • End with your full name and phone number.

Applying for a job with your resume

Subject: Application for Java Developer (Fresher), job ID 12345 – Priya Sharma

Dear Hiring Team,

I would like to apply for the Java Developer (Fresher) role at [Company],
job ID 12345, which I found on your careers page.

I am a 2026 B.Tech (Computer Science) graduate. I have built a Spring Boot
and MySQL project that students in my college use to book study rooms, and
I completed a four-month Java internship where I fixed bugs and wrote SQL
reports.

My resume is attached. I would be glad to discuss how I can contribute.

Thank you for your time.

Regards,
Priya Sharma

Make it yours: replace the project and internship lines with your own. One real detail about what you built is worth more than any adjective.

Cover letters

When a job post asks for a cover letter, keep it to one page with three short parts: why this role, what you bring, and a polite close. Here are two versions.

For a fresher

Dear Hiring Manager,

I am applying for the QA Engineer (Fresher) role at [Company]. I enjoy
finding problems before users do, and testing is the area I want to build
my career in.

During my final year, I wrote 150 test cases for our college attendance
app and automated 40 of them using Selenium with Java. I also learned SQL
to check test data directly in the database. These projects taught me to
be careful, to write clear bug reports and to work closely with developers.

I would welcome the chance to learn from your team and contribute to the
quality of your products. Thank you for considering my application.

Sincerely,
Rahul Verma

For an experienced candidate

Dear Hiring Manager,

I am writing to apply for the Senior Data Analyst role at [Company]. I have
three years of experience turning business data into reports that teams
use to make decisions.

In my current role at a retail company, I built Power BI dashboards used by
40 store managers and cut the monthly reporting time from four days to one
by automating the data preparation in SQL. I would like to bring the same
focus on useful, simple reporting to your team.

I have attached my resume and would be happy to discuss the role.

Sincerely,
Ananya Iyer
